Configure the Trans Tab for Transport Companies in eCount – Billing, LR, and GST Settings

This article explains how transport companies configure the Trans tab in eCount’s Company Setup to manage default accounts, billing options, LR entry, and related settings.

The Trans tab contains transport‑related settings that affect default ledger accounts, billing behavior, user permissions, LR entry, GST calculation, and crossing rules. Proper configuration ensures smooth LR creation, billing, and accounting.

⚙️ Settings / configuration

Default Account Settings

  • Default Silak Account – choose the default silak ledger.
  • Default Hiring Account – choose the default hiring ledger.
  • Default Kasar Account – choose the default discount/kasar ledger.
  • Default Lorry Hire Account – choose the default lorry hire ledger.
  • Default Delivery Account – choose the delivery income ledger.

User Security

  • Allow Other User – enable if multiple users work in the company simultaneously.

Accounting Options

  • Branch Wise Price List Required – maintain separate price lists per branch.
  • Branch Wise Accounting – enable branch‑wise accounting entries.
  • Manual Trip Entry – allow manual trip creation.
  • Centralize Bill No Required – use centralized bill numbering.
  • Centralize Sales Account Required – 

    Centralized Account allows you to generate invoices for LR (Lorry Receipt) records from all branches in a single branch.

    When Centralized Account is set to True, you must select a Centralized Branch. The selected branch will have access to all branch-wise LRs, allowing invoice generation from one central location.

    For all other branches, invoices can only be generated for their own branch-wise LRs. They cannot generate invoices for LRs belonging to other branches.

  • Centralize Branch – The selected branch can view all branch LRs for generate Invoice.

Other Charges

  • Other Charge Name – customize label for the first additional charge.
  • Other Charge 2 Name – customize label for the second additional charge.

Paid / To Pay Bill Configuration

  • Paid/To Pay Bill Required – enable to generate separate bills for paid and to‑pay freight.

Billing Freight By Option

  • Select the freight types that appear when creating LR and Sales Bills (e.g., To Pay, Paid, Consignee, Consignor, T.B.B., etc.).

Billing Delivery Freight By Option

  • Choose the default freight mode for delivery billing (e.g., To Pay, Paid, T.B.B.).

LR Entry Options

  • Separate Consignor And Consignee – allow different names.
  • Change Other To TBB – auto‑convert “Other” freight to T.B.B.
  • BAL Wise Required – enable balance‑wise processing.
  • Short LR In Memo – allow short LR entries in memo.
  • Advance Short LR Setup – enable advance short LR functionality.
  • Unlock LR After Parent Created – allow editing LR after parent document creation.
  • Unlock All Parent – allow editing parent records.
  • Maintain Truck Wise Accounting – separate accounting per truck.
  • Common Serial No For Sales Bill And Supplementary Bill – share series.
  • Unique LR No In All Year – keep LR number unique across financial years.
  • Unique LR No In All Center – keep LR number unique across branches/centers.
  • Commission Setup Required – enable commission calculation.

Service Tax / GST Setup

  • Automatic Calculation On (Transport)
  • Automatic Calculation On (Consignee)
  • Automatic Calculation On (Consignor)
  • Fields: Calculation Amount, Service Tax Percentage, GST Amount, GST Percentage.
  • Additional options: GSTR1 Check Minimum GST By Remove, B2B RCM Include In Exempt, E‑Invoice Upload In Single Item.

Crossing Setup

  • Crossing Transport Name Required – require transport name during crossing.
  • Crossing In Out Required In LR – maintain In/Out entry for LR crossing.
