How to Import Data from Excel into eCount ERP

eCount ERP allows you to import master and voucher data directly from an Excel file. This feature is accessed through the Data Utility and works for accounts, products, invoices, GST entries, bank transactions, journal vouchers, and more.

đź”§ How to import data from Excel

  1. Open the Utility menu and select Data Utility > Import.
  2. On the Master/Voucher selection screen, choose the type of data you want to import (e.g., Account, Product, Sales Invoice, Purchase Invoice, GST Expense Entry, Bank Payment, etc.).
  3. Upload your Excel file. If you have a predefined template, select it; otherwise the first worksheet (Sheet1) is chosen automatically. To use a different sheet, select the desired sheet from the drop‑down list.
  4. Click Next to move to the Column Mapping stage.
  5. Map each Excel column to the corresponding eCount field. The first row of your file is shown as a sample to help you verify the mapping.
  6. After mapping, click Next to see the Preview screen. Review the data that will be imported.
  7. For master data (Account, Product, etc.) you will be asked whether to Overwrite old data. Tick Yes if you want existing records with the same name to be updated.
  8. If everything looks correct, click Save & Close to complete the import.

  • Prepare a consistent Excel template to avoid repeated mapping.
  • Use the preview window to correct any mistakes before saving.
  • Credit limit, opening balance, and stock quantity can be updated through the same import process by including those columns in the Excel file.

In the Preview screen, verify the data carefully. If you want to update the stock of existing products, enable the Overwrite Old Data option. Finally, click Save & Close to complete the import process.

To update the credit limit for all parties, select the **Account** import option. Ensure that the Excel file includes a **Credit Limit** column. During column mapping, map the **Credit Limit** column from Excel to the **Credit Limit** field in eCount.

In the Preview screen, set the **Overwrite Old Data** option to **Yes** so that the credit limits of existing parties are updated. Finally, click **Save & Close** to complete the import process.

To migrate data from your old software to eCount ERP, first export the required data from the old software and save it in Excel format. Then, in eCount ERP, go to **Utility → Data Utility → Import** and select the appropriate **Master** or **Voucher** type (such as Account, Product, Invoice, etc.).
