This article explains how to view, filter, print, and configure Outstanding Reports for Receivable and Payable in ecount ERP.
đź“‹ Overview
Outstanding Reports provide FIFO‑based details of receivable and payable balances as of the selected date. The report lists bill number, date, due days, original amount and pending amount, pulling data from the last three years. If no transaction exists in that period, the previous balance is shown.
⚙️ Settings / configuration
To limit the report to specific party groups, enable the relevant resource settings.
- Open Setup → Resource Setup.
- Search for E1043 (“In Receivable only Debtors Party show”). Open the record, check Enabled, and save. Only debtor parties with a debit (“Db”) closing balance will appear in the Receivable report.
- Search for E1045 (“In Payable Only Creditor Party show”). Open the record, check Enabled, and save. Only creditor parties with a credit (“Cr”) closing balance will appear in the Payable report.
🔧 Steps / How‑to
- Navigate to Report → Outstanding → Receivable / Payable.
- Select the desired report type (Receivable or Payable) and define the date range.
- Use the Filters icon to choose Account Group, City, Area, or Party as needed.
- Optionally toggle the Due day option to calculate outstanding amounts from the party’s due date instead of the bill date.
- Pick a report format:
- FIFO (default) – detailed bill view with cumulative balance.
- Summary – shows pending amount, post‑dated cheque (PDC) amount, and net amount.
- City/Area Summary – aggregates by location.
- Age‑wise – groups balances by due‑day ranges.
- Click Print to open the print dialog. Choose the same format or a custom template created with the Template Report Designer.
- Use the Collection Letter button to generate a collection letter directly from the report.
- Press Set Reminder to record a payment reminder for the selected party; the system logs how many times you have contacted the client.
- Click the Forward button on a ledger line to open the full account detail. This works with the General Report options.

đź’ˇ Tip: The default FIFO format cannot be edited, but you can create new formats using the Template Report Designer for branding or additional fields.
đź’ˇ Tip: When the “Due day” toggle is on, the system uses the due days defined in the Account Master, which may affect aging analysis.
⚠️ Note: If no transactions are found within the last three years, the report will display the previous balance only; ensure historic data is retained if you rely on that information.
