How to Generate and Use Balance Sheet, Trial Balance, Trading Account & Profit & Loss Reports in ecount

This article explains how to generate and work with the Balance Sheet, Trial Balance, Trading Account, and Profit & Loss reports in ecount Accounting. It is intended for accounting staff and managers.

đź“‹ Overview

The four financial reports share the same layout and options. By default they open in a “T‑shape” view: creditors on the left, debtors on the right. A horizontal button switches to a side‑by‑side view.

Trial Balance lists the closing balance of every ledger account for the selected period.

Trading Account calculates gross profit based on sales, purchases and the chosen closing‑stock evaluation method.

Profit & Loss adds all expenses to the gross profit to show the net profit of the company.

Balance Sheet presents assets, liabilities and the net profit (or loss) to give a snapshot of the company’s financial position.

🔧 Steps / How‑to

  1. Open the desired report from Accounting → Reports → Final Report → (Trail Balance/ Trading A/c, Profit & Loss, Balance Sheet) . The report loads in T‑shape.
  2. Click the Horizontal button to change to a side‑by‑side view.
  3. Use F1 to search for a specific account or transaction.
  4. Press F6 to set the date range filter.
  5. Choose Group / Sub‑group to rearrange the layout. To change the order of groups, edit the Sequence No. in Account Group Master.
  6. To adjust the stock method in the Trading Account, click Stock Method and select one of: None, Fixed, Average, FIFO.
  7. For a manual closing‑stock entry, click the Closing Stock button, select the stock account, date and value, then confirm.
  8. Export the report by clicking PrintExcel or PDF.
  9. Use the Forward to Ledger or Zoom icons to drill down into detailed ledger entries.

⚙️ Settings / configuration

  • Set the default Stock‑in‑Hand account: Setup → Branch Setup → General → Default Stock In Hand A/c.
  • If you need to merge branch ledgers, ensure you have the appropriate rights and enable the option in the report toolbar.

đź’ˇ Tip: Changing the sequence number in the Account Group Master instantly updates the order of groups in all four reports.

⚠️ Note: If the Stock‑in‑Hand account does not appear in the Balance Sheet, verify that the default account is correctly set in Setup → Branch Setup → General.
