How to Record Credit/Debit Note with Stock in eCount (GST)

๐Ÿ“Œ Overview

The CN/DN Entry (With Stock) is used to record Credit Notes (CN) and Debit Notes (DN) when the transaction affects both Inventory (Stock) and Accounting.

This voucher updates:

  • ๐Ÿ“ฆ Inventory (Stock)
  • ๐Ÿ’ฐ Customer/Supplier Ledger
  • ๐Ÿ“’ Sales/Purchase Ledger
  • ๐Ÿงพ GST Ledgers

The transaction is considered during GST Return preparation and appears in the CDNR (Credit/Debit Notes - Registered Persons) section.

๐Ÿ”ข Voucher No. Auto-generated or manually entered voucher number.
๐Ÿ“„ Invoice Type Select the applicable Invoice Type.
โš™๏ธ Effect On Select how the transaction should affect Sales or Purchase.
๐Ÿงพ Tax Type Select applicable GST Tax Type.
๐Ÿ“’ S/P A/C Select the Sales or Purchase Account.
๐Ÿงพ Bill No. Enter the Original Invoice Number.
๐Ÿ“… Bill Date Enter the Original Invoice Date.
๐Ÿ“Œ Reason Select the appropriate reason for issuing the Credit/Debit Note.

๐Ÿ“‰ Sales Decrease Reduces Sales value and updates stock. Commonly used for Sales Return.

๐Ÿ“ฆ Product Entry Details

  • โŒจ๏ธ Press ENTER in the item grid to start Product Entry.
  • ๐Ÿ” Select the required Product from the Product List.
  • โž• โœ๏ธ ๐Ÿ—‘๏ธ Products can be Add / Edit / Delete directly from the Product Selection popup.
  • โš™๏ธ Product selection steps and popup columns can be customized through Master Setup → Product Options.
  • ๐Ÿ“ If Product Name Overwrite is enabled in Voucher Setup, the Product Name can be changed without affecting the Product Master.
  • ๐Ÿ”„ Receipt (R) and Issue (I) entries can be entered in the same voucher if enabled in General Setup.
  • ๐Ÿ“‹ Middle User Fields are available in a separate entry screen if configured for the voucher type.
  • ๐Ÿ“ฆ Enter Product Quantity.
  • โš–๏ธ For Dual Unit products, enter the Second Unit Quantity and Conversion Factor. The First Unit Quantity is calculated automatically.
  • ๐Ÿท๏ธ For Batch-wise Stock, enter the Batch Number during Receipt. During Issue, select the Batch from available stock.
  • ๐Ÿฌ For Location-wise Stock, select the Warehouse/Location where goods are received or issued.
  • ๐Ÿ”ข For Serial Number-wise Stock, enter Serial Numbers while receiving goods. During Issue, select available Serial Numbers from stock.
  • ๐Ÿ’ต Product Rate is automatically retrieved from Product Master or Price List.
  • ๐Ÿ’ฒ If multiple Price Lists exist, the system asks you to select the required Price List.
  • ๐Ÿงพ If Tax Paid Rate is applicable, enter the Tax Paid Rate and the system automatically calculates the Basic Rate.
  • ๐Ÿ“ Product Quantity and Rate support up to 4 Decimal Places depending on Stock Options.
  • ๐Ÿงฎ Product Amount is calculated automatically using Quantity × Rate × Conversion Factor. You may modify the calculated Amount if required.
  • ๐Ÿ’ผ After Amount calculation, the Item-wise Expenses window opens automatically when Multiple GST or Item-wise Expenses are applicable.
  • โŒ Delete an Item using Ctrl + Y.
  • ๐Ÿ“‹ Any number of Product entries can be added in a single voucher.
  • โžก๏ธ Press TAB after completing Product Entry to move to the next section.

๐Ÿ’ฐ Expense & Taxes Entry

  • ๐Ÿงพ Displays all applicable Taxes and Expenses.
  • โœ” GST Amount is calculated automatically according to the selected Invoice Type.
  • โœ๏ธ Tax Amount can be modified manually if permitted.
  • ๐Ÿšš Additional Expenses such as Freight, Packing, Insurance, Loading, etc. can be entered.
  • โž• Expenses can increase the Invoice Amount.
  • โž– Expenses can also reduce the Invoice Amount if configured.
  • ๐Ÿ“Š Item-wise Expense totals are displayed automatically and cannot be edited from this section.

๐Ÿงพ Bill To Bill Adjustment

If the selected Customer or Supplier uses the Bill To Bill accounting method, Bill Adjustment Entry becomes available.

  • ๐Ÿ“Œ Available when Auto Bill Adjustment is disabled in Sales/Purchase Voucher Setup.
  • ๐Ÿ“„ Adjust the Credit Note or Debit Note against outstanding Bills.
  • โœ” Supports Full or Partial Bill Adjustment.
  • ๐Ÿ’ฐ Maintains accurate Outstanding Receivable and Payable balances.

๐Ÿ“ Narration

Use the Narration section to record the reason or reference for the transaction, such as:
