How to Record Bank and Cash Transactions in eCount ERP

Overview 📊

eCount lets you record bank and cash movements without needing accounting jargon. Use the Transaction → Bank/Cash menu to create payments, receipts, and contra entries.

Menu Options

  • Bank Payment – money paid from a bank account
  • Bank Receipt – money received into a bank account
  • Cash Payment – money paid from a cash account
  • Cash Receipt – money received into a cash account
  • Contra – transfer between bank and cash

Creating a Bank Payment

  1. Open Transaction → Bank/Cash → Bank Payment and click the Add button.
  2. Select the Payment Date.
  3. In Opposite Account, choose the party you are paying (e.g., Supplier, Expense).
  4. Pick the appropriate expense account (e.g., Travelling Expense) and enter the amount (e.g., ₹5,000).
  5. Choose the bank account from which the amount is deducted. The bank balance updates automatically.
  6. Optionally add cheque number, cheque date, and a narration.
  7. Click Save. The ledger updates automatically.

Creating a Bank Receipt

  1. Navigate to Transaction → Bank/Cash → Bank Receipt and click Add.
  2. Enter the receipt date.
  3. Select the party (customer or other) you are receiving money from.
  4. Choose the bank account that will receive the funds.
  5. Enter the amount and any supporting details (cheque, narration).
  6. Save the voucher – the bank ledger reflects the credit automatically.

Cash Payments and Receipts

The steps for cash transactions mirror the bank screens; just select a cash account instead of a bank account.

Contra Entries (Bank ↔ Cash)

Use Contra when you move money between a bank account and a cash account. Select the source account, the destination account, amount, and save.

Printing and Customising Vouchers

After saving, click Print to generate a voucher. You can add your company letterhead, signature, and notes. The layout is fully customisable.

Importing Bank Statements

eCount supports Excel imports of bank statements downloaded from online banking. See the separate article Import Bank or Cash Statement for detailed steps.

Frequently Asked Questions

Can I send a voucher via email or WhatsApp?

Yes. After saving, use the Send option to share the voucher through email or WhatsApp.

Why can’t I select a voucher date from another financial year?

Voucher dates are limited to the currently selected financial year. Switch the financial year first, then choose a date within that year.
